About this position

Our Human Resources Department is responsible to deliver high quality HR services to all EMBL personnel working at EMBL Headquarters in Heidelberg and its five sites across Europe. We are looking for a motivated individual who is interested in gaining experience in HR administration and excited by the challenge of providing an excellent service in a stimulating international environment.

Reporting to the Head of Recruitment and Advice, you will be part of a small contracting team of three team members dealing with contract management for EMBL members of personnel in Heidelberg as well as Barcelona, Grenoble, Hamburg and Rome. Moreover, the team deals with visa matters for EMBL employees including their family members.

 

Your role

In this role, you will provide administrative support within these areas:

  • Contract management
    • Support and provide backup for the HR Contracting team
    • Manage e-mails of the general contracting-visa inbox
    • Manage internal electronic visitor workflow and prepare related contracts
    • Maintain contract data on SAP HR
  • Visa matters
    • Support and provide backup for the HR Contracting team
    • Monitor expiry dates of visa and EMBL protocol cards
    • Issue related certificates and visa support letters
  • General tasks
    • Provide administrative services such as general correspondence, secretarial tasks like e.g. filing and scanning, processing the HR mail
    • Organise internal HR meetings as well as external visits
  • Perform any other duties that may be assigned

You have

As our ideal candidate, you possess relevant education and training in the area of HR administration. Strong customer orientation and attention to detail to provide a high quality service for staff at all levels in the organisation are a must. You should have analytical and evaluative skills and be able to work effectively with people of different national and cultural backgrounds. We expect very good organizational skills, reliability as well as the ability to plan and prioritize your own work programme. Proficiency in MS office applications and Internet is required. A professional and confident command of English is essential.

You might also have

Previous relevant work experience, ideally gained from an international environment is advantageous. Familiarity with SAP HR is desirable. A good knowledge of German language is an advantage.
