account on the EMBL user portal (SMIS). To set up an account, please visit the <a rel=\"noreferrer noopener\" href=\"https:\/\/smis.embl-hamburg.de\/misapps\/SMISWebClient\/accountManager\/searchExistingAccount.do\" target=\"_blank\">EMBL user portal<\/a>.<\/p>\n\n\n\n<p>All requested forms and certificates should be sent to the <a href=\"mailto:useroffice@embl-hamburg.de\">EMBL user office<\/a> by email.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Accommodation<\/h3>\n\n\n\n<p>The DESY guesthouse offers single and twin rooms (38.50\u20ac \/ 49\u20ac per night) to visitors who wish to stay on the site. Requests for accommodation should be sent to the EMBL user office through the <a href=\"https:\/\/www.embl.org\/about\/info\/hamburg-access-infrastructures\/preparing-your-visit\/#a-form\">A Form<\/a> for your experiment session.<\/p>\n\n\n\n<p>Room keys can be collected from the staff at the main entrance to the DESY site from 15:00 on the day of your arrival. Please vacate the room and return the key to the main entrance by 10:00am on the day of your departure.<\/p>\n\n\n\n<p>If you wish to stay at a nearby hotel, please consult the <a href=\"https:\/\/www.embl.org\/about\/info\/hamburg-access-infrastructures\/wp-content\/uploads\/2022\/09\/hotels-list-2022.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">list of hotels and guesthouses<\/a> and enter your preference in the field <em>Comment for the EMBL User Office<\/em> (at the bottom of the <em>Users<\/em> section on the A Form). The user office will contact you to confirm availability after you have submitted the A Form.<\/p>\n\n<\/div>\n<\/div>\n\n\n<div><!--[vf\/content]-->\n<div class=\"vf-content\">\n\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<hr class=\"vf-divider\">\n\n\n\n<div class=\"embl-grid embl-grid--has-centered-content\"><div><!--[vf\/content]-->\n<div class=\"vf-content\">\n<div class=\"vf-section-header | vf-u-margin__bottom--400\">\n  <h2 class=\"vf-section-header__heading\" \n  id=\"a-form\"  >\n  A Form   <\/h2>\n  <\/div>\n\n\n<\/div>\n<\/div>\n\n\n<div><!--[vf\/content]-->\n<div class=\"vf-content\">\n\n<p>The A Form is the interface through which the details of your experiment are communicated to the EMBL Hamburg user office prior to a beamtime session.<\/p>\n\n\n\n<p>Once beamtime has been scheduled and accepted, the main proposer can access the A Form by signing onto the <a rel=\"noreferrer noopener\" href=\"https:\/\/smis.embl-hamburg.de\/misapps\/SMISWebClient\/protected\/welcome.do\" target=\"_blank\">EMBL user portal<\/a>, going to <em>Proposals\/Experiments<\/em> &gt; <em>A Forms<\/em>, and clicking on <em>Edit A Form<\/em> for the experiment.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Instructions for the main proposer<\/h3>\n\n\n\n<p>The scientist who submitted the beamtime proposal must:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Add all of the users who will attend the beamtime to the A-Form&nbsp;<\/strong><br>(the main proposer must also be added if attending)<\/li>\n\n\n\n<li><strong>Enter the visit details and requests for the users<\/strong><br>(arrival and departure dates, accommodation, reimbursement and\/or DACHS card requests)<\/li>\n\n\n\n<li><strong>Mark one of the users as the visit coordinator<\/strong><br>(by ticking the <em>Visit coordinator<\/em> box next to that user\u2019s details)<\/li>\n\n\n\n<li><strong>Submit the A Form<\/strong><br>(after everyone in the user group has validated their user and safety declaration)<\/li>\n<\/ul>\n\n\n\n<p>PLEASE NOTE: All users added to the A form have to complete their user and safety declaration form in order for the main proposer to be able to submit the A Form.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Instructions for beamline users<\/h3>\n\n\n\n<p>After having been added to the A Form by the main proposer, each user will receive an email informing them that their details have been linked to the experiment. In the email, the user will be asked to sign onto the EMBL user portal and validate their user and safety declaration form.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>sign onto the <a href=\"https:\/\/smis.embl-hamburg.de\/misapps\/SMISWebClient\/protected\/welcome.do\" target=\"_blank\" rel=\"noreferrer noopener\">EMBL user portal<\/a> (or click on the link in the email you received)<\/li>\n\n\n\n<li>go to<em> Proposals \/ A Forms<\/em> and then click on <em>TO-DO<\/em> under Declaration Form<\/li>\n\n\n\n<li>enter your details in the pop-up window and click on <em>Validate this form<\/em><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">How to complete the A Form<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>To complete the A form, the main proposer has to add the USERS who will attend the beamtime by searching for them in the database, select the SAMPLES which will be used and specify the SAMPLE ENVIRONMENT.<\/li>\n\n\n\n<li>If any of the users who will attend the beamtime do not have an SMIS account yet, they will need to <a rel=\"noreferrer noopener\" href=\"https:\/\/smis.embl-hamburg.de\/misapps\/SMISWebClient\/accountManager\/searchExistingAccount.do\" target=\"_blank\">register<\/a> before they can be added to the A form.<\/li>\n\n\n\n<li>In the <em>Users<\/em> section, the main proposer should enter the arrival and departure date for each user. If on-site accommodation is required, the corresponding box should be ticked along with the type of room requested.<\/li>\n\n\n\n<li>If a user does not already have a DACHS card, please put a tick in the box next to <em>DACHS card requested<\/em>.<\/li>\n\n\n\n<li>A visit coordinator must be nominated from the list of users attending the experiment. This person will confirm the actual beamtime received after the experiment.<\/li>\n\n\n\n<li>Once a user has been added to the A Form, they will be contacted by email and asked to validate their user and safety declaration via the user portal.<\/li>\n\n\n\n<li>The names of the users who have not yet completed their declaration will appear with a line through them until the form has been validated. If you have already been issued with a DACHS card, please bring it with you each time you visit the beamlines at EMBL Hamburg.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">To collect your DACHS card:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>visit the EMBL Hamburg user office (1st floor in building 48e, room L108) before the start of your scheduled experiment.<\/li>\n\n\n\n<li>at the weekend and outside of general office hours, DACHS cards can be issued at the main entrance to the DESY site (Notkestr. 85).<\/li>\n<\/ul>\n\n\n\n<p>To report a lost or stolen DACHS card, please <a href=\"mailto:useroffice@embl-hamburg.de?subject=Lost DACHS card\" target=\"_blank\" rel=\"noreferrer noopener\">contact the user office<\/a> without delay.<\/p>\n\n<\/div>\n<\/div>\n\n\n<div><!--[vf\/content]-->\n<div class=\"vf-content\">\n\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<hr class=\"vf-divider\">\n\n\n\n<div class=\"embl-grid embl-grid--has-centered-content\"><div><!--[vf\/content]-->\n<div class=\"vf-content\">\n<div class=\"vf-section-header | vf-u-margin__bottom--400\">\n  <h2 class=\"vf-section-header__heading\" \n  id=\"safety-training\"  >\n  Safety training  <\/h2>\n  <\/div>\n\n\n<\/div>\n<\/div>\n\n\n<div><!--[vf\/content]-->\n<div class=\"vf-content\">\n\n<p>The safety training must be completed by every on site and remote EMBL Hamburg user for beamtime. The safety modules required for your visit should be completed on the <a rel=\"noreferrer noopener\" href=\"https:\/\/smis.embl-hamburg.de\/misapps\/SMISWebClient\/protected\/welcome.do\" target=\"_blank\">EMBL user portal<\/a>.
